Hong Kong National Dance Team 2025 - Spain DWC FInals Competition Trip Team Leader: Ms Joviene San
Congratulations on your child's outstanding performance in the DWC Asia Hong Kong Ranking Competition and their selection to the Hong Kong National Dance Team 2025. This document outlines important guidelines for our upcoming international competition trip to Spain. Please review thoroughly, print for your reference, and send confirmation of your understanding. 1. Travel Documentation Requirements: ALL PASSSPORT MUST VALID FOR AT LEAST 6 MTHS PRIOR TO THE TRAVEL DATE ON JULY 1st-10th. PLEASE CHECK THE REQUIREMENT OF YOUR PASSPORT AND THE VISA ENTRY REQUIREMENT TO SPAIN & TURKEY respectively as we need to enter their borders. All parents and students must obtain appropriate visas for Spain and Turkey (for July 2nd transit exit the airport ). Please send images of your child's visa and insurance documentation via WhatsApp. Our team will maintain these records to present to authorities if needed.

For Children Traveling Without Parents: A notarized permission letter is required. Please bring the original document, submit it to the team coordinator, and keep a photocopy for yourself. Immigration authorities may request this documentation when minors cross borders without parents. Notarization must be completed at a Hong Kong law firm prior to departure.

2. Meal Arrangements: All family members are expected to join group meals. Please note that dancers cannot receive refunds for missed meals as all reservations are prepaid.

We encourage family members to participate in our carefully selected dining experiences. Our professional tour guide has chosen restaurants based on local expertise and quality. Family members are responsible for their own lunch and dinner expenses and may order from the full menu, including regional specialties and beverages. Only breakfast after hotel check-in from July 3-10th is included in the accompanying family package as stipulated in the brochure of trip signup. Please take note parent is required to bear their own meal expenses on July 2nd with Istanbul-Breakfast and Bilbao-dinner.

2.1 Seating Arrangements: To simplify billing, dancers will be seated together with their meals covered by the team. After ordering their meals, dancers may join their families at their tables if they wish. Parent in return will be seated in joint/separate table but to ease the process of splitting bills among, please prepared some Euro Dollars in cash.

2.2. SPECIAL MEAL ARRANGEMENT : OUR GROUP IS TRANSITTING IN ISTANBUL - EXITTING THE ISTANBUL AIRPORT FOR A BREAKFAST BY THE RIVERSIDE, BOSPHORUS CITY CENTER.
Please take note all dancers meal and cost is being covered in the trip fare. However, for accompanying family members are required to pay for their own meal expenses in our reserved, curated restaurants from the available choices in menu. Starting from July 3rd, all participant of the package will get to enjoy the complimentary breakfast covered by the team, from July 3rd - July 10th.

2.3 Transiting in Turkey, Istanbul on July 2nd @ 5am
We have arranged the driver to chaffeur the group out of Istanbul airport to City centre for a breakfast arrangement in a hotel by the infamous Bosphorus river.The breakfast expense for all dancers are covered, however parents is on self-beared cost. The cost is around Euro 30 per person.

3. Rehearsals and Performance Requirements: Students must attend all scheduled rehearsals, competition preparation sessions, audience segments, and master classes. These activities are essential components of their learning experience and preparation for the final performance and adhere to PUNCTUALITY on the stipulated timing, any delay that might cost the group later to a competition, travelling parent may risk self-borne on the extra cost of logistic in arriving to respective venue, as our bus may leave on time without further waiting to prevent any potential delay.

3.1 Meeting Point & Backstage Access
As some parent is sharing room with their dancer child, hence parents are responsible for bringing their children to meeting points and transferring them to team supervision. Family members should remain in designated audience areas and not access backstage locations. The backstage area has limited space, and additional people may create logistical difficulties. Our staff will request parental assistance when necessary or communicate about any emergencies. Parents must be reachable via WhatsApp at all times for important communications to ensure smooth operations.

4. Free Time and Outings: We will provide a schedule for families wishing to spend separate time with their children. Please note that our itinerary is compact with limited flexibility. All dancers must adhere to the 11:00 PM curfew and be ready for early morning activities.
IMPORTANT NOTES: Parents may not delegate childcare responsibilities to our staff, other parents, or teenage dancers. They cannot assume such responsibilities on your behalf.

5. Room Policies: All traveling children and teenagers remain under our coaching staff's supervision. Any invitations for meals or gatherings at all times included within the hotel compound & in room dining, require prior approval from our coaches. Dancers may not leave their assigned rooms after being instructed to return unless they have received permission from the team leader for a valid reason.
Students may not join gatherings in other rooms without authorization. When permitted, all gatherings must end by 10:30 PM, as curfew is 11:00 PM. Team leaders will conduct room checks starting at 10:30 PM for all students, including those staying with parents. Children traveling with parents should not be left alone in rooms or moved to another room without informing the team leader.

6. Safety Precautions and Logistic Arrangement: Dancers and teenagers should never use public transportation alone to meet parents at any location. For safety reasons, minors (under 18) should not use public transportation unaccompanied in a foreign country.
These guidelines are designed to ensure a smooth and safe experience for everyone. We aim to prevent any inconvenience to fellow travelers or staff members during our journey. Our goal is to provide a safe and enjoyable experience for all participant.

7. Note to all pick-up Parents who plan their own trip, it notable that our hotel and competition venue is located far from each other, it is not straight forward in your own arrangement for non-package traveller. Please take note our trip staff will be contactable ONLY on July 8th night, coordinating in hand over the dancer to you and hence they are not always responsive to your messages during the event should you arrive earlier, hence, please AVOID :

Sending enquiries or requesting information to our WhatsApp staff or travelling staff for your personal travel need and arrangement as they are obliged to serve only our package travellers. ( tickets, flight info, hotels.)
Contacting with our package parents or our group staff and seeking their help to coordinate your personal itinerary.
Putting stress to your dancer child to assist in planning your trip : frequent messaging sharing their location or daily itinerary to you as it could be stressful and distracting to them at such packed schedule we've provided them, while they are required to be mentally and physically focus in preparing such big competition.
Asking your child to join your itinerary and ditch the group activities.
Contacting your child past curfew hour 1030pm and asking them to join you in your hotel room. Pls refer to room policy No.5
Following the group daily itinerary or GPS their location to join in on your own.
Hop-on to our bus or transport for joining any activities / watching the competition for your convenience.
Joining meal with the group - pre-booked restaurant is NOT able to cater any extra headcount normally.
Putting negative note or complain to your dancer child / others parent for how inconvenience to plan your own trip that are not favourable to your personal needs & trip arrangement.
